Recordkeeping-Time and Attendance

RECORDKEEPING

Administrators and supervisors shall maintain accurate and up-to-date attendance records for their employees, and process such records as required in the district’s administrative procedures in order that all employees of the district receive accurate and timely compensation for their efforts.

Administrators / Supervisors may elect to handle all timekeeping for their department/location or may appoint a timekeeper to edit and review time and attendance for their staff.  This timekeeper is held responsible for entering and maintaining all attendance data for the location/department, and adhering to the procedures established for the timekeeper position.

Administrators/Supervisors are responsible for approving all timekeeping data, in a timely manner, for each pay period prior to the actual processing of payroll.  Unless the administrator/supervisor is also doing all of the timekeeping duties, the approver and timekeeper tasks should not be held by the same employee.  Approver procedures are established and monitored by the payroll department for mandatory compliance.
